Keep Article Screenshots Useful as the Interface Changes

Maintain article screenshots by tracking the task, interface state and surrounding instructions so visual changes receive the right level of review.

TL;DR

  • Decide whether to keep, replace, or remove screenshots based on the reader task they support; record the image’s purpose so maintainers can judge if changes affect recognition, state, or verification of outcomes.
  • Store capture context—product area, account role, interface language, settings and capture date—and preserve both original and editable annotated sources so future maintainers can reproduce captures and update labels.
  • When interfaces change, compare screenshots with the current reader path—control names, steps and state indicators—and verify legibility at displayed sizes; record which image was replaced and why to confirm successful updates.

Maintain the instruction the screenshot supports

Article screenshot maintenance should begin with the reader's task. A screenshot is useful because it helps someone recognize a control, understand a state or verify an outcome.

Not every cosmetic interface change makes an image unusable. Conversely, a small label or permission change can make a screenshot misleading even when the overall layout looks familiar.

Record what the image is meant to demonstrate. That purpose gives the maintainer a basis for deciding whether to replace it, annotate the article or remove an unnecessary visual.

Keep capture context with the asset

Store enough information to reproduce the screenshot appropriately: product area, relevant account role, interface language, important settings and capture date.

Use a safe demonstration account or approved test data. Check the image for personal information, tokens and other details that should not appear in a public guide.

ContextWhy it matters
Reader taskDefines the screenshot's purpose
Product stateExplains what the image shows
Role or permissionsIdentifies who can see the controls
LocaleKeeps labels consistent with instructions
Article revisionConnects the image to the accepted copy

A date alone does not establish whether the screenshot is still accurate. The task and conditions matter more than its age.

Review changes by reader consequence

When the interface changes, compare the screenshot with the current path the reader follows. Check control names, required steps, state indicators and any prerequisites described in the copy.

A harmless color change may not justify a new capture. A moved action may require updated navigation text even if the screenshot's central panel remains unchanged.

Our guide to updating old posts can help prioritize maintenance. Focus first on images that could send readers down the wrong path.

Replace copy and image together

After capturing a new image, read the surrounding steps and caption. Numbered annotations, button names and references such as “on the left” may no longer match.

Do not fabricate an interface to make the screenshot look cleaner. If you use a conceptual illustration instead, label it as such and ensure the text does not present it as an actual product screen.

Keep the editable annotation source when appropriate so future maintainers can update labels without repeatedly degrading the image. Preserve the original capture separately from the annotated output.

Verify readability in the article

Inspect the screenshot at its displayed size on desktop and a smaller screen. Text that is legible in the source file may be unreadable after the page scales it down.

Crop to the relevant area where that preserves necessary context. If the image cannot carry the required detail clearly, move the explanation into the body rather than forcing readers to decode tiny labels.

The content approval workflow should include the rendered image-and-copy pair, not only a standalone file preview.

Keep a replacement record

Record which image was replaced, why and which article revision adopted it. If the old image appears in other articles, assess those uses separately rather than assuming the same replacement fits them all.

After publication, confirm that the expected file loads and that the caption and description match. A successful upload is only part of the maintenance task.

A reliable screenshot library is organized around reader tasks and product conditions. That makes updates more focused and prevents visual polish from masking an instruction that no longer works.
